About This Role

Office Management

  • Manage office supplies inventory and place orders as needed.
  • Ensure maintenance and upkeep of office facilities and equipment.
  • Coordinate with vendors for facility management and other administrative services.
  • Oversee and support all administrative duties in the office.
  • Liaise with facility management vendors, including cleaning, catering, and security services.
  • Manage the office budget and track office expenditures.

Travel & Meeting Coordination

  • Organize travel and accommodation arrangements for staff and visitors.
  • Schedule meetings, prepare agendas, and maintain minutes of meetings.

Record Keeping

  • Maintain organized and up-to-date records for all administrative documents.
  • Handle correspondence, filing (physical and digital), and other clerical tasks.
  • Manage petty cash and related expenses.

Compliance & Reporting

  • Manage the interaction with the local advisor in charge of accounting and payroll.
  • Assist in ensuring compliance with local administrative regulations and company policies.
  • Provide support in preparing documentation for audits and inspections.

Qualifications and Skills

  • Min of 4 years of Proven experience as an Office Manager, Administrative Officer, or similar role
  • Strong organizational and multitasking abilities.
  • Good communication and interpersonal skills.
  • Ability to maintain confidentiality and act with integrity.
  • Ability to multitask and prioritize effectively.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and office management tools.
