Job Summary:
Provide administrative support to the organization, ensuring seamless day-to-day operations, and assist with HR-related tasks to promote a positive and productive work environment. As well as the administrative support to the COO, ensuring seamless day-to-day operations and strategic alignment with company objectives.

Key Responsibilities:
Administrative
* Maintain soft and original copies of corporate documents/contracts.
* Point of contact with external service providers and building administration.
* Keep records of all service maintenance contacts, required service updates, ASAS corporate presentations, forms, and some SGI and affiliated companies.
* Main point person for all office/building physical and external facility management.
* IT/server-related concerns/ FFE requisition, maintenance, and software update.
* Social/ business applications and subscriptions. Keeping on file credentials.
* Office and pantry supplies inventory.
* Petty Cash Management and Control.
* Keep some files for affiliated companies as required.
* Ad hoc (as required)

HR Admin Support
* Keeps and maintains (sponsored/non-sponsored/SLA/affiliates) employee records; 201 files.
* DIFC portal user
* DEWS portal user and point of contact for Zurich Workspace Solutions
* Record and maintains attendance, tracking, and leave/benefit summary.
* Keeps documents relating to client records, payroll records, appointments, and memos.
* Maintains logbook on board resolutions/corporate memos.
* Deals with benefits: Group Medical Insurance, Parking and other parts of employee benefits.

* Coordinate the COO’s calendar, arranging meetings, appointments, and travel itineraries.
* Prioritize and coordinate tasks, projects, and initiatives assigned by the COO.
* Handle sensitive and confidential information with professionalism and integrity.
* Undertake special projects and tasks as assigned by the COO.
