Infinity Lifestyle Management & Concierge (ILMC) is a Dubai-based lifestyle management and concierge company providing personalized support services to individuals, families, businesses, and property clients.

Our work is fast-moving, service-driven, and detail-oriented.

We help clients save time by coordinating daily tasks, service requests, appointments, vendors, staff, travel, documentation, and follow-ups in a professional and discreet manner.

We are looking for a reliable and capable Administrative Assistant who can support our office operations and help keep daily tasks organized, updated, and moving smoothly.

Role Description

This is a full-time, on-site Administrative Assistant role based in Dubai.

The role is suitable for someone who is not only good at basic administration, but also confident in coordination, follow-ups, documentation, client communication, and day-to-day operational support.

The Administrative Assistant will support management and the office team with scheduling, emails, calls, WhatsApp coordination, document preparation, record keeping, vendor follow-ups, staff coordination, client request tracking, and general office administration.

This role requires someone organized, proactive, confident, and able to take ownership of assigned tasks.

We are looking for a stable candidate who wants to grow with the company, not someone looking for short-term employment or frequent job changes.

Key Responsibilities

Handle day-to-day office administration and clerical support.

Manage emails, phone calls, WhatsApp messages, appointments, and follow-ups professionally.

Maintain accurate records, files, documents, reports, and trackers.

Support management with scheduling, meeting preparation, document drafting, and task coordination.

Coordinate with clients, vendors, staff, service providers, and internal team members.

Follow up on pending tasks until they are completed, not only forwarded.

Assist with recruitment coordination, onboarding documents, staff records, and admin support.

Support service-related requests such as bookings, vendor arrangements, travel coordination, client assistance, and operational follow-ups.

Keep office tasks organized, updated, and moving efficiently.

Handle basic office supplies, logistics, visitor coordination, and front-office support when required.

Candidate Requirements

  • Minimum 4–5 years of work experience in Dubai is required.
  • Previous experience as an Administrative Assistant, Office Administrator, Executive Assistant, Operations Coordinator, Client Coordinator, or Admin Coordinator will be preferred.
  • Strong computer skills, including MS Office, Google Workspace, email, Excel/Google Sheets, Word, and basic reporting.
  • Strong communication skills with professional phone and email etiquette.
  • Confident personality with the ability to speak clearly, follow up firmly, and coordinate with different people.
  • Highly organized, detail-oriented, and able to manage multiple tasks at the same time.
  • Able to work under pressure in a fast-moving office environment.
  • Customer-service mindset with a professional, discreet, and solution-oriented approach.
  • Must be punctual, reliable, and serious about stable long-term employment.
  • Must be based in Dubai and able to work on-site.
  • Previous experience in hospitality, concierge, facilities, travel, client servicing, service coordination, or a fast-paced office environment will be an advantage.
  • Relevant diploma or degree in Business Administration, Office Management, or a related field is preferred but not mandatory for the right candidate.
