Purpose of the role
The Admin/ Assistant Project Manager is responsible for team coordination, project communication, follow-up, minuting & documentation, project monitoring, project reporting, contractual review & participation in procurement, and managing small projects independently. They should be able to participate across all Project Management verticals as and when required under guidance.
Key Objectives
- Support the coordination and management of projects.
- Communicate with stakeholders regarding project needs and goals.

- Perform administrative tasks such as preparing invoices, estimates, scheduling meetings, etc.
- Keep track of and report on project progress.
- Complete any tasks assigned by the Project Manager in an efficient and timely manner.
- Project Budget Planning (under guidance)
- Project Cost & Resource Monitoring - maintaining the accuracy of project plans (under guidance)
- Ability to proofread, review & draft contracts.
- Sub-consultant coordination, tracking progress.
- Meeting Minutes & Activity Tracking.
- Meeting Setups (internally and externally).
- Uses the company file naming and information filing standards and follows quality standards overall.
Education
- Bachelor’s degree in Administration, Management, or a related field.
- Additional certification in secretarial or administrative support is a plus.
Experience
- 2–5 years of experience in an administrative or project support role, preferably in architecture or design firms.
- Experience working with Project Managers or Lead Architects.
Technical Skills
- Proficiency in Microsoft Office (Excel, Word, PowerPoint).
- Experience with project scheduling tools (MS Project or Primavera P6).
- Strong data analysis and reporting skills.
- Knowledge of Adobe InDesign and presentation design.
- Ability to create infographics, diagrams, and visual reports.
