Job Summary
We are seeking a proactive and detail-oriented Accountant cum Admin to join our real estate operations team in Sharjah.
The ideal candidate will be responsible for managing day-to-day accounting activities, rent collection, tenant coordination, administrative functions, and supporting the Property Manager in the smooth operation of the company's real estate portfolio.
The role requires strong communication, organizational, and accounting skills, along with the ability to coordinate effectively with tenants, maintenance teams, and external service providers.
Accounting & Finance
- Maintain accurate accounting records and financial transactions.
- Record rental income, expenses, receipts, and payments in the accounting system.
- Prepare monthly bank reconciliations and monitor cash flow.
- Manage Accounts Receivable (AR) and Accounts Payable (AP).
- Follow up on outstanding rent payments and issue reminders to tenants.
- Prepare invoices, receipts, payment vouchers, and journal entries.
- Assist in monthly, quarterly, and annual financial reporting.
- Coordinate with auditors and provide required documentation during audits.
- Maintain tenant security deposit records and related reconciliations.
- Ensure compliance with company policies and UAE accounting regulations.
Property Management Support
- Monitor tenancy contracts, renewals, expiries, and lease documentation.
- Coordinate rent collections, post-dated cheques, and payment schedules.
- Maintain tenant records and update property management databases.
- Assist the Property Manager in managing daily property operations.
- Support occupancy tracking and leasing administration activities.
- Prepare reports related to occupancy, collections, and tenant status.
Tenant Relations & Coordination
- Serve as the primary point of contact for tenant inquiries and concerns.
- Coordinate tenant move-ins, move-outs, and contract renewals.
- Handle tenant complaints professionally and ensure timely resolution.
- Follow up with tenants regarding maintenance requests and service issues.
- Maintain positive tenant relationships to enhance tenant satisfaction and retention.
Maintenance & MEP Coordination
- Coordinate with MEP, maintenance, and facility management teams regarding tenant complaints and maintenance requests.
- Track maintenance work orders and ensure timely completion.
- Follow up on repairs, preventive maintenance schedules, and vendor services.
- Liaise with contractors, suppliers, and service providers as required.
- Ensure maintenance records and service reports are properly documented.
Administration
- Manage office administration and document control.
- Maintain tenancy files, contracts, licenses, and company records.
- Draft correspondence, notices, tenant communications, and reports.
- Coordinate with government authorities, utility providers, and external stakeholders when required.
- Handle filing, record keeping, and general administrative duties.
- Support HR and management with administrative tasks as assigned.
