Overview

We are seeking a highly organized and detail-oriented **Tender Review Specialist** to join our team in Dubai.

This is primarily an **administrative and document-control role** focused on the meticulous review, assembly, and tracking of commercial tenders and proposals.

The ideal candidate does not need to be a technical engineer, but must possess a sharp eye for compliance, deadlines, and formatting.

You will be responsible for ensuring that our tender submissions are flawless, complete, and fully aligned with the client’s administrative requirements.

Key Responsibilities

  • **Initial RFP Review:** Thoroughly read Request for Proposal (RFP) and tender documents to identify all administrative, legal, and submission requirements (e.g., required certificates, signatures, formatting rules, and deadlines).
  • **Document Compilation & Control:** Collect, organize, and assemble all required corporate documentation (trade licenses, certificates, financial records, case studies, and team CVs) for the tender submission package.
  • **Compliance Checking:** Review final tender documents against the client’s checklist to ensure zero missing components, typos, or formatting errors before submission.
  • **Timeline Management:** Maintain the internal tender calendar, tracking deadlines, clarification query periods, and submission dates to ensure the team stays on schedule.
  • **Portal Management:** Handle the uploading and submission of documents onto various e-tendering portals (e.g., Tejari, government portals, or private client systems).
  • **Archive & Tracking:** Maintain an organized digital archive of all past bids, templates, clarification letters, and feedback for future reference.

Requirements & Qualifications

  • **Experience:** 2 to 4 years of experience in an administrative, document controller, or bid coordinator role, preferably dealing with tenders in the UAE.
  • **Skills:** Exceptional attention to detail—you are someone who notices a missing signature or a formatting error instantly.
  • **Software Proficiency:** Advanced proficiency in MS Word, Excel, and Adobe Acrobat (PDF management and editing). Experience using online e-procurement/e-tendering portals is highly preferred.
  • **Communication:** Excellent written and verbal English communication skills (ability to draft professional emails and clarification requests).
  • **Time Management:** Ability to work under tight deadlines and manage multiple tender reviews simultaneously without sacrificing quality.
