Role overview

Procurement and supplier follow-up

• Prepare purchase orders, purchase invoices, and sales orders in the POS back office; close purchase orders and match received orders against invoices and supplier statements.
• Maintain pending supplier-payment reports, follow up cheques, advances, and payment references with Finance, and confirm payments to suppliers.
• Source and evaluate suppliers inside and outside the UAE using quotations, samples, and lead times; maintain the supplier list.
• Coordinate stock replenishment and transfers with the warehouse and branches.

Logistics and shipping

• Request and compare air, sea, courier, and local freight quotations; book international shipments, mainly from the Far East to the UAE, and track them to delivery.
• Prepare AWB details, packing lists, insurance requests, NOCs, and other documents required by forwarders and authorities.
• Follow up customs clearance and last-mile delivery with forwarders and the warehouse.

Systems and reporting

• Record supplier bills and expenses in inventory and expense systems with correct references and supporting documents.
• Activate approved promotions and price changes in the POS system at branch request.
• Prepare monthly near-expiry reports for all locations and coordinate actions with branches and the warehouse.
• Submit a daily timesheet and weekly status report on open purchase orders, shipments, and pending payments to the Supply Chain Supervisor.

Candidate requirements

• Requires 1 to 3 years of experience in procurement, logistics, or supply chain administration; UAE retail, FMCG, or distribution experience is preferred.
• Requires working knowledge of UAE import logistics, including freight forwarders, AWB, insurance, and customs documentation.
• Requires hands-on experience with an ERP or POS back office and cloud inventory, expense, and e-signature applications.
• Requires strong Excel skills, accuracy with numbers and documents, and excellent written and spoken English; Arabic is an advantage.
• Requires organization and ability to handle and clearly document 20 or more daily follow-ups across suppliers, forwarders, branches, and Finance.
• Requires a bachelor's degree or diploma in Business, Supply Chain, Logistics, or a related field.
• Must be available to join in Abu Dhabi; candidates already in the UAE are preferred.

Compensation and benefits

• Salary is AED 2,350 to 2,500 per month, based on experience.
• Benefits include an employment visa, medical insurance, and annual leave as per UAE Labour Law.

Workplace and employment

• Full-time role based at the company head office and warehouse in Abu Dhabi.
