Role Purpose

The Student Coordinator runs daily operations at one assigned site, which may be a central venue or a partner school in Abu Dhabi, Al Ain, or Al Dhafra.

Day to day, the coordinator keeps the learning cohorts running on schedule, looks after student registration and attendance, supports the mentors working at the site, makes sure classrooms and devices are ready, and steps in when an operational, safeguarding, or technical issue comes up.

The coordinator is the first point of contact for mentors, students, and partner site staff, and reports to the Program Coordinator.

The wider goal is simple: give students inn Grades 1 to 9 a safe, well organised place to study Arabic and Mathematics over the summer.

Daily Operations And Site Coordination

Open and set up the site each morning so classrooms are ready before the first session, within the 8:00 AM to 4:00 PM operating window.

Keep the day's learning sessions (40 minutes each, Monday to Thursday) running to time.

Manage how students move around the site, including the changeover between sessions and any recreational or incentive activities.

Act as the daily point of contact for partner site staff, mentors, students, and the project team.

Registration And Student Data

Help validate, track, and pull together student registration data for the cohorts at your site.

Collect and check consent forms on the approved template, covering mixed gender participation, age grouping, transport arrangements, and incentive activities.

Keep student records accurate and current throughout the program, following the client's data protection and confidentiality rules.

Attendance And Completion Tracking

Record and submit daily attendance by cohort, subject, session, and date.

Note no shows, late arrivals, early departures, and who has completed the program.

Where a site uses one, work with the partner attendance system (for example the venue's registration or QR code check in).

Raise attendance concerns early, such as repeated absence or low participation, with the Program Coordinator and the client.

Mentor Coordination

Organise the day to day allocation, attendance, and deployment of mentors across the cohorts at your site.

Brief mentors on the daily schedule, student grouping, attendance steps, safeguarding expectations, and how to escalate an issue.

Spot gaps quickly and call in standby or replacement mentors so the student to mentor ratio is kept.

Technology And Device Support

Make sure the laptops or tablets and headsets students need are charged and working, and able to reach the online learning platform and play short educational videos.

Sort out basic device and connectivity problems on the spot, and pass on anything more technical.

Keep a record of devices, who has them, and that they are handled safely at the site.

Safeguarding, Safety, and Escalation

Follow student safeguarding and safety procedures across the site at all times.

Record and escalate any incident, risk, or behavioural concern straight away, using the agreed process.

Make sure everything happening on site meets the client's policies, the partner site's rules, and child safeguarding expectations.

Reporting

Submit the daily operations report (attendance, mentor deployment, device use, incidents) by the agreed deadline.

Feed into the weekly and final reports on attendance, engagement, completion, and how the site is running.

Help close out each cohort, including completion records and certificates once the client approves them.

Qualifications And Experiences

A bachelor's degree, or equivalent practical experience, in education, administration, project coordination, or a related area is preferred.

Background in running events, programs, schools, or onsite operations, ideally somewhere working with students or young people.

Hands on experience with registration, attendance, or data tracking is a real plus.

Comfortable using digital learning platforms and devices, and able to handle basic troubleshooting.

Some grounding in child safeguarding and data protection is welcome.

Eligibility And Pre-Employment Requirements

  • Because the coordinator works directly with children in Grades 1 to 9, the points below are conditions of appointment.
  • Anyone who cannot meet them cannot take up the role.
  • A valid police clearance, or Good Conduct Certificate, confirming the person is suitable to work with children. This must be in hand and checked before the first day on site.
  • Completed child safeguarding and child protection training before starting, along with sign off that the person understands the program's safeguarding and reporting steps.
  • A signed confidentiality and data protection undertaking covering all student and program information.
  • The person's name must appear on the staff list approved by the client beforehand; the role cannot begin until that approval comes through.
  • Confirmation that the person is qualified, trained, and suitable to work around students, in line with the program's staffing standards.
  • The Service Provider may withdraw or replace any coordinator who is absent, unsuitable, in breach of safeguarding or confidentiality, or unable to do the job.

Skills And Competencies

  • Well organised and good with time, able to keep a busy site with several cohorts moving.
  • Clear communicator who can coordinate between mentors, students, parents, and partner staff.
  • Stays calm under pressure and works problems through sensibly, including incidents.
  • Careful and accurate with records and reporting.
  • Confident with Microsoft Office or spreadsheets and with attendance or data entry tools.
  • Arabic and English are both strongly preferred.
  • Discreet with confidential student information.

Working Conditions

  • This is a full day, onsite role for the site's operating hours, 8:00 AM to 4:00 PM.
  • It is a fixed term role over July and August 2026. Partner school sites run shorter cycles, while the central venue can run for up to six weeks.
  • The setting is busy and student focused, so the coordinator needs to adapt as student numbers, cohorts, or site arrangements change.
  • Appointment is subject to client approval and to following all program staffing standards and policies.
