Role Description
This is a full-time, on-site Secretary role based in Dubai, United Arab Emirates.
The Secretary will manage daily administrative tasks, including handling phone calls, emails, calendars, meeting scheduling, and correspondence for the office and leadership team.
Responsibilities
include preparing and maintaining documents, records, and reports related to property transactions, clients, and suppliers, as well as organizing files (digital and physical) to ensure accurate and timely retrieval of information.
The role involves greeting and assisting visitors, coordinating appointments with clients and agents, and supporting customer inquiries in a professional and service-oriented manner.
The Secretary will also support company secretarial and executive administrative tasks such as arranging meetings, preparing agendas and minutes, processing basic office finance-related paperwork, and liaising with internal teams to keep operations running smoothly.
Qualifications
- Strong clerical skills, including document preparation, record-keeping, filing, and data entry.
- Excellent verbal and written communication skills, with the ability to interact professionally with clients, colleagues, and external partners.
- Experience with company secretarial work such as organizing meetings, preparing agendas and minutes, and maintaining official records.
- Proven experience in executive administrative assistance, including calendar management, travel coordination, and supporting senior leadership.
- Customer service skills with a client-centric approach, ideally in real estate, property management, or a related service industry.
- Proficiency with office software (e.g., Microsoft Office or Google Workspace) and comfort working with digital tools and CRM systems.
- Strong organizational and time-management abilities, with attention to detail and the capacity to prioritize multiple tasks.
- Ability to work on-site in Dubai, United Arab Emirates, in a fast-paced, team-oriented environment.
- Previous experience in an administrative or secretarial role; experience in real estate or professional services is an advantage.
- Relevant diploma or bachelor’s degree in Business Administration, Office Management, or a related field preferred.
