Procurement Officer

Job purpose

Planning and purchase requisitions

• Process approved purchase requisitions and verify accuracy, completeness, business justification, delivery date, and budget.
• Consolidate requirements with department heads, outlets, factory, kitchen, warehouse, and project teams.
• Plan purchases based on consumption, stock limits, lead times, seasonality, and forecasts; minimize shortages and emergency purchases.
• Procure approved goods such as coffee, ingredients, packaging, consumables, spare parts, equipment, uniforms, and office supplies.

Sourcing and supplier management

• Identify and evaluate suppliers and obtain competitive quotations under procurement policy and approval thresholds.
• Prepare comparisons covering price, quality, specifications, payment terms, warranty, delivery, and after-sales support.
• Negotiate pricing, credit terms, discounts, schedules, and service agreements.
• Maintain supplier records and monitor performance, quality, delivery, and responsiveness; escalate disputes, quality issues, price changes, and delays.

Budget and cost control

• Ensure purchases comply with approved departmental budgets, CAPEX plans, project budgets, and authorized limits.
• Verify available budget with Finance or the budget owner before committing expenditure; obtain required authorization.
• Support savings through benchmarking, supplier consolidation, alternative sourcing, bulk purchasing, and contract negotiation.
• Track price variances and provide procurement cost reports and savings analysis.

Purchase orders and records

• Issue purchase orders only after required approvals and include correct specifications, quantities, prices, delivery details, and payment terms.
• Maintain requisitions, quotations, comparisons, approvals, purchase orders, delivery notes, invoices, and supplier correspondence.
• Track open orders and record transactions in the designated ERP system, including SAP Business One.
• Maintain accurate, traceable records for internal and external audits.

Inventory and category coordination

• Check stock availability and review movement, consumption, reorder levels, slow-moving stock, and excess inventory with warehouse and inventory teams.
• Coordinate deliveries to the correct warehouse, factory, project site, or outlet and resolve shortages, damage, rejected goods, or incomplete deliveries.
• Coordinate purchase, goods receipt, and invoice matching with Finance and Warehouse; help prevent overstock, waste, and stockouts.
• Source coffee, food ingredients, beverages, packaging, production consumables, machinery, kitchen equipment, spare parts, maintenance materials, and retail fixtures.
• Ensure food purchases meet approved specifications, quality and shelf-life standards, and applicable food safety requirements.
• Coordinate with Operations and Factory on production schedules, outlet needs, promotions, and launches; use substitutions only with relevant approvals.
