Key Responsibilities

  • Handle and prioritize all outgoing or incoming correspondence (e-mail, calls, letters, packages etc.).
  • Direct received opportunities through email to the concerned team, and enquiries from clients for the team to handle.
  • Receive support emails/ requests from clients, register tickets for the same on SOM, assign it to the concerned person and following up with team.
  • Looking for opportunities in supplier’s portals and forwarded it to sales and pre-sales teams.
  • Remind the team daily with their list of opportunities/the deadline to share their proposals and to submit response on time.
  • Submit proposals through portals and emails.
  • Arranging for schedule of technical team and Site visits.
  • Assist in getting gate passes for the team by preparing pass statement.
  • Coordinate PM visits and register tickets for the same.
  • ⁠Track open projects and who is doing what and the closing date for each.
  • Follow up on pending invoices with clients.
  • Assist the team to send their enquiries to the buyers to and act as connecting point to help them with the process of preparing proposals.
  • Working on preparation of proposals and tenders’ documents is an advantage.
  • Any other tasks assigned by direct manager.

Qualifications

  • English S/R/W – fluently
  • Smart in answering telephone calls – taking notes – updating the SAIT employee who should take action – follow up with the SAIT employee if matter has been dealt with.
  • At least 3 years' experience in UAE as **Secretary/ Office manager.**
  • Word / Excel / Power Point.
  • Sense of Responsibility and commitment towards the company.
  • Can create a daily schedules.
  • Can prepare offers and letters.
  • Can file documents properly.
  • Can prepare for meetings and can take notes, then follow-up with Action Plans.
  • Professional in the attitude .
  • Punctual in attendance .
  • No Social Media during office hours.
  • Minimum personal calls during office hours.

Education

  • Bachelor's (Required)

Experience

  • UAE IT companies : 3 years (Required)
