Overview

We are seeking a highly capable and resourceful

Admin & Office Manager

to lead the administration and operational management of our Dubai office.

This position is central to ensuring seamless business operations, regulatory compliance, and executive support.

The ideal candidate will bring a balance of operational discipline, organizational excellence, and leadership, acting as the backbone of the office environment and a trusted partner to senior management.

Key Responsibilities

  • Oversee all administrative and operational activities, ensuring efficiency and alignment with company standards.
  • Lead office management functions, including procurement, facilities, vendor contracts, and compliance with UAE regulations.
  • Serve as a key liaison between the Dubai office, senior management, and other regional offices to maintain consistency and communication.
  • Supervise HR-related activities such as onboarding, record management, attendance monitoring, and coordination of employee requirements.
  • Support financial administration, including expense management, invoice processing, and petty cash control, ensuring accurate reporting and accountability.
  • Manage executive calendars, meeting coordination, travel logistics, and high-level correspondence with professionalism and confidentiality.
  • Implement and enforce office policies, procedures, and systems that drive efficiency and compliance.
  • Ensure the office environment reflects the company’s professional standards in terms of safety, organization, and hospitality.
  • Prepare, review, and present administrative and operational reports to senior management.
  • Drive continuous improvement initiatives across office operations to support business growth and employee productivity.

Qualifications & Skills

  • Bachelor’s degree in Business Administration, Management, or a related discipline.
  • Minimum of 8 years of office administration or management experience, with UAE-based experience strongly preferred.
  • Proven knowledge of UAE labor laws, corporate compliance, and office management best practices.
  • Strong financial and operational acumen with demonstrated ability to manage budgets and resources effectively.
  • Advanced proficiency in Microsoft Office Suite and business management tools.
  • Exceptional organizational, leadership, and interpersonal skills with a professional demeanor.
  • Ability to prioritize and manage multiple demands in a fast-paced environment while maintaining discretion and accuracy.
  • Strong written and verbal communication skills.
