Overview

We are seeking a highly organized and proactive Office Administrator to manage daily administrative operations within our real estate company.

The ideal candidate will be responsible for handling office documentation, coordinating with tenants, and ensuring smooth communication between departments.

This role requires strong organizational, communication, and multitasking skills.

Key Responsibilities

  • Manage and maintain office filing systems (physical and digital) for tenant records, contracts, and property documents
  • Handle tenant communications including calls, follow-ups, and inquiries in a professional manner
  • Coordinate with different departments (maintenance, accounts, leasing, and management) to ensure smooth operations
  • Track and follow up on tenant requests, complaints, and service issues
  • Assist in preparing reports, documents, and correspondence related to real estate operations
  • Maintain accurate data entry of tenant information, lease details, and property records
  • Schedule appointments, meetings, and site visits when required
  • Support management with administrative tasks and operational coordination
  • Ensure office processes and procedures are followed efficiently
  • Handle incoming and outgoing communications (emails, calls, documents)

Requirements

  • Proven experience as an Office Administrator, Admin Assistant, or similar role (preferably in real estate)
  • Strong knowledge of office management systems and procedures
  • Proficiency in MS Office (Word, Excel, Outlook)
  • Excellent communication and interpersonal skills
  • Ability to multitask and prioritize work effectively
  • Strong organizational and problem-solving skills
  • Attention to detail and accuracy in data handling
  • Ability to work under pressure and meet deadlines

Preferred Qualifications

  • Experience in real estate or property management industry
  • Familiarity with tenant management systems or ERP software
  • Basic understanding of leasing processes and documentation

Work Environment

  • Office-based role with regular interaction with tenants and internal departments
  • Fast-paced real estate operations environment

Job Type: Full-time
