Import & Export Coordinator (Frozen Food Industry)

Overview

Key Responsibilities

• Manage end-to-end import and export operations for frozen food products
• Prepare and verify all shipping and legal documentation (Invoice, Packing List, Bill of Lading, COO, etc.)
• Handle **customs clearance procedures** in coordination with freight forwarders and customs authorities
• Arrange and manage **health certificates, food safety certificates, and veterinary/municipality approvals**
• Ensure compliance with UAE import/export regulations and food control authority requirements
• Coordinate temperature-controlled logistics (cold chain management) for frozen goods
• Follow up with shipping lines, clearing agents, and transport companies for timely clearance and delivery
• Monitor shipment schedules and ensure on-time dispatch and arrival of goods
• Maintain accurate records of shipments, documentation, and compliance files
• Resolve any shipment delays, documentation issues, or customs-related queries
• Liaise with suppliers, buyers, and internal departments to ensure smooth logistics flow
• Continuously track shipment status and provide regular updates to management

Requirements

• Proven experience as Import/Export Coordinator or similar role in the **frozen food or food trading industry**
• Strong knowledge of UAE customs regulations and import/export procedures
• Experience handling **food-related certifications (Health Certificate, Municipality approvals, etc.)**
• Familiarity with cold chain logistics and temperature-sensitive cargo handling
• Excellent communication and strong follow-up skills
• Ability to manage multiple shipments and work under pressure
• Proficiency in MS Office and logistics documentation systems
• Strong attention to detail and problem-solving ability
• Bachelor’s degree in Supply Chain, Logistics, Business Administration, or related field preferred
