Overview

  • A freight forwarding company is seeking a candidate with HR and admin experience in below fields as follows:
  • Maintain, organize, and update employee records, HR databases, personnel files, and administrative documentation (physical and electronic) while ensuring confidentiality and accuracy
  • Handle the complete employee lifecycle including recruitment coordination, CV screening, interview scheduling, onboarding, probation tracking, confirmations, transfers, resignations, and terminations
  • Process employee visas, renewals, cancellations, labour contracts, Emirates ID applications, medicals, and related immigration formalities
  • Coordinate with relevant authorities including JAFZA, DED, MOHRE, GDRFA, Immigration, and other government departments for company and employee-related matters
  • Prepare wage settlements, final settlements, warning letters, HR correspondence, and exit documentation in accordance with UAE Labour Law and company policies
  • Manage attendance, leave records, employee documentation, and HR reporting on a timely basis
  • Address employee queries, grievances, disciplinary matters, and support management in maintaining proper employee relations and workplace conduct
  • Process and coordinate renewals of Trade Licenses, Establishment Cards, EJARI, vehicle registrations, and other company regulatory approvals
  • Coordinate renewals and maintenance of company insurance policies including medical, workmen’s compensation, fleet, and facility insurance
  • Maintain vendor records, service agreements, tenancy contracts, and administrative documentation
  • Track expiry dates and ensure timely renewal of company agreements, contracts, licenses, and subscriptions
  • Handle office administration and ensure smooth day-to-day office operations
  • Coordinate with service providers and suppliers including DEWA, Etisalat, du, internet providers, office maintenance vendors, and other external parties
  • Provide administrative support to management including correspondence, scheduling, meeting coordination, and preparation of reports/documents
  • Handle company asset records including mobile phones, laptops, computers, printers, and office equipment
  • Coordinate with external IT support providers for system setup, troubleshooting, user support, email configuration, software installation, backups, and maintenance of office IT infrastructure
  • Assist staff with basic IT-related issues including system access, printer/network issues, email setup, and coordination of hardware/software requirements
  • Maintain proper filing and documentation of HR, admin, and IT-related records
  • Prepare periodic HR/Admin reports and updates as required by management
  • Ensure compliance with company policies, UAE labour regulations, and administrative procedures
  • Experience with ERP systems/SAP B1 and Microsoft Office applications preferred
  • Good communication, organizational, multitasking, and coordination skills
  • Candidate should be proactive, detail-oriented, able to maintain confidentiality, and capable of handling HR, administrative, and IT coordination responsibilities independently
  • Minimum of 2 to 4 years’ UAE experience in freight forwarding/logistics as HR Executive.

Experience with JAFZA required.

Fluency in English (both written and spoken) is essential.
