Overview
- Our company is seeking an experienced and dedicated candidate who can provide vital support to our team as a Logistics Coordinator.
- We are seeking a candidate who has experience in handling **vehicle/automotive logistics**.
- Prepare shipping documentation including Bills of Lading (BL), Delivery Orders, manifests, invoices, packing lists, and related export/import documents
- Submit Shipping Instructions (SI) to shipping lines within required timelines
- Coordinate and place bookings with shipping lines and follow up on booking confirmations, vessel schedules, space availability, and shipment planning
- Prepare freight quotations and coordinate with customers and sales department regarding shipment requirements, rates, and operational updates
- Open, update, and maintain jobs in SAP system and ensure proper job file management
- Perform accurate data entry and maintain operational records in ERP/software systems
- Coordinate with shipping lines, customers, agents, transporters, and internal departments for smooth shipment execution
- Follow up on container movements, shipment status, documentation, approvals, and customer requirements to avoid delays
- Verify shipping and commercial documents for accuracy, compliance, and completion
- Maintain proper documentation and filing of shipment records and correspondence
- Coordinate with accounts department regarding invoicing, job closing, and payment-related documentation
- Prepare reports, shipment summaries, and operational updates when required
- Handle customer and agent communication professionally via email and phone
- Ensure all operational and documentation activities are completed within deadlines
- Assist in resolving operational issues, shipment delays, booking issues, and documentation discrepancies
- Maintain accurate records of containers, vehicles/cargo movements, and shipment status
- Knowledge and experience in vehicle export operations, container loading, and automotive logistics will be an added advantage
- Familiarity with shipping line procedures, Dubai Trade, customs documentation, and port-related processes preferred
- Experience with ERP systems/SAP B1 and Microsoft Excel preferred
- Good communication, coordination, and organizational skills
- Ability to work under pressure and manage multiple shipments simultaneously
- Candidate should be detail-oriented, proactive, and capable of handling day-to-day operational coordination independently
Requirements
- Proven experience in customer service, handling orders, complaints, inquiries, and correspondence.
- Experience in handling shipping documentation such as Commercial Invoices, Packing Lists, Bills of Lading, Certificates of Origin, Vessel Certificates, etc.
- An individual with a strong work ethic, eager to learn new skills and take on new challenges.
- Strong negotiation skills with the ability to resolve issues and address customer complaints effectively.
- Bachelor’s degree in Marketing, Business Administration, Logistics, or a related field is required.
- Excellent communication and interpersonal skills.
- Minimum 3–4 years of experience in logistics as a Sales Coordinator.
- Fluency in English (both **written and spoken) is essential.**
