We are looking for

Executive Secretary (

Saudi only )

Job Objective

To provide efficient administrative and executive support to management by coordinating schedules, communications, documentation, and office operations while maintaining professionalism and confidentiality.

Job Summary

The Executive Secretary provides high-level administrative and organizational support to senior management.

The role involves managing schedules, coordinating meetings, handling correspondence, maintaining confidential records, and ensuring smooth day-to-day administrative operations.

Key Responsibilities

  • Manage executives’ calendars, appointments, and meeting schedules.
  • Coordinate internal and external meetings, including preparing agendas and meeting minutes.
  • Handle incoming calls, emails, and correspondence professionally.
  • Prepare reports, presentations, letters, and official documents.
  • Maintain confidential files, records, and company documents.
  • Follow up on pending tasks and ensure timely completion.
  • Communicate and coordinate with departments, clients, and external parties.
  • Organize office operations and administrative procedures.
  • Support management in special projects and daily operational tasks.
  • Provides high-level administrative support and assistance to the Executive Director and/or Board Members.
  • Performs clerical and administrative tasks including drafting letters, memos, invoices, reports, and other documents for Executive Director and/or Board Members
  • Schedules and attend meetings on behalf of executives, taking notes and recording minutes.
  • Performs additional duties as assigned by executives.
  • Performs other related duties as assigned.
  • Ability to manage assets.

Required Skills/Abilities

  • Excellent verbal and written communication skills.
  • Excellent organizational skills and attention to detail.
  • Excellent time management skills with a proven ability to meet deadlines.
  • Ability to function well in a high-paced and at times stressful environment.
  • Extensive knowledge of office administration, clerical procedures, and recordkeeping systems.
  • Extremely proficient with Microsoft Office Suite or similar software with the ability to learn new or updated software.

Education and Experience

  • bachelor’s degree in business administration or related field preferred.
  • **Requirements & Qualifications:**
  • Bachelor’s degree in business administration or related field.
  • Proven experience as an Executive Secretary, Administrative Assistant, or similar role.
  • Excellent verbal and written communication skills.
  • Strong organizational and time-management abilities.
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook).
  • Ability to handle confidential information professionally.
  • Strong attention to detail and multitasking skills.
  • Fluent in English and Arabic.
