About This Role
Overview
We are seeking a highly professional and experienced Executive Personal Assistant with at least 10 years of experience supporting senior executives and high-level management.
The successful candidate will report directly to the Deputy Managing Director and be responsible for managing daily executive operations, schedules, travel arrangements, and confidential administrative matters.
The ideal candidate must possess excellent organizational, communication, and multitasking skills and be able to work in a fast-paced executive environment.
Key Responsibilities
- Provide full executive and personal assistance support to the Deputy Managing Director.
- Manage calendars, meetings, appointments, and executive schedules efficiently.
- Coordinate local and international travel arrangements including:
- Flight bookings
- Hotel reservations
- Transportation arrangements
- Visa coordination where required
- Organize business meetings, conferences, and executive events.
- Prepare reports, presentations, correspondence, and meeting minutes.
- Handle confidential documents and sensitive information with professionalism and discretion.
- Coordinate with internal departments, clients, and external stakeholders.
- Monitor and follow up on tasks, deadlines, and management priorities.
- Screen calls, emails, and correspondence on behalf of the executive office.
- Ensure smooth day-to-day administrative and operational support.
Requirements
- Minimum
- 10+ years of experience
- as an Executive Assistant, Personal Assistant, or similar senior administrative role.
- Proven experience supporting C-level executives or senior management.
- Strong organizational and time management skills.
- Excellent communication skills in English (written and verbal).
- Proficient in Microsoft Office applications and executive reporting.
- Ability to handle multiple priorities under pressure.
- Professional appearance and strong interpersonal skills.
- High level of confidentiality and attention to detail.
- Must be currently based in or willing to relocate to Dubai.
Preferred Candidates
- Filipino or European nationals are preferred.
- Previous experience within multinational companies or executive offices is an advantage.
