Overview

We are seeking a highly capable, proactive, and commercially minded Executive Assistant to support the CEO of an expanding global company with multiple business interests across different regions.

This is not a standard administration role.

The successful candidate will work closely with the CEO and will be expected to operate with urgency, discretion, initiative, and strong follow-through.

The role requires someone who is confident managing priorities, pushing schedules forward, and holding deadlines accountable.

Key Responsibilities

  • The role will include:
  • Managing the CEO’s diary, meetings, travel, appointments, and daily schedule
  • Monitoring and organizing emails, correspondence, and follow-ups
  • Coordinating across multiple businesses, departments, and international time zones
  • Preparing reports, summaries, meeting notes, and action lists
  • Following up with internal teams, clients, suppliers, and external stakeholders
  • Assisting with basic financial tracking, invoices, payments, reports, and business administration
  • Helping manage deadlines, commitments, and business priorities
  • Proactively reminding, chasing, and pushing the CEO and team to stay on schedule
  • Supporting business growth, systems, organization, and operational structure

The Ideal Candidate

  • We are looking for someone who is:
  • Highly organized and able to manage multiple priorities at once
  • Confident, proactive, and not afraid to follow up firmly when needed
  • Able to work long hours when required and support a fast-moving business environment
  • Trustworthy, discreet, and professional
  • Strong with emails, scheduling, documentation, and task management
  • Comfortable working directly with a CEO / business owner
  • Financially aware, with experience in accounts, reporting, invoices, payments, or business finance preferred
  • Able to think ahead, identify problems early, and take ownership without waiting to be asked
  • Strong in written and spoken English
  • Comfortable working across different businesses, cultures, and time zones

Experience Required

  • Previous experience as an Executive Assistant, Personal Assistant, Office Manager, Finance Assistant, or similar senior support role
  • Financial or accounts background will be highly regarded
  • Experience supporting senior management, directors, or business owners preferred
  • Strong computer skills, including email, calendar management, Microsoft Office, spreadsheets, and reporting tools
