Role Description

This is a full-time, on-site Executive Assistant role based in Sharjah.

The Executive Assistant will manage calendars, schedule meetings, coordinate travel, and organize logistics for senior leaders.

Responsibilities

include preparing reports and presentations, handling correspondence, screening calls and emails, and maintaining confidential records and files.

The role involves managing expense reports, tracking approvals, and supporting budget-related documentation.

The Executive Assistant will also coordinate internal and external meetings, support office administration tasks, and serve as a reliable point of contact between executives and stakeholders.

The position requires strong organizational skills, discretion, and the ability to prioritize multiple tasks under tight timelines.

Key Responsibilities

  • Manage the MD’s
  • daily schedule
  • , appointments, meetings, and travel arrangements with accuracy and foresight.
  • Serve as the
  • primary point of contact
  • between the MD and internal/external stakeholders.
  • Prepare
  • reports, presentations, business briefs, proposals, and meeting minutes
  • for executive-level discussions.
  • Coordinate and follow up on
  • strategic projects, deadlines, and action items
  • across departments.
  • Screen, prioritize, and respond to emails, calls, and requests on behalf of the MD.
  • Maintain and organize confidential documents, contracts, and executive files.
  • Support the MD in
  • board meetings, investor meetings, and leadership reviews

  • Conduct research and compile data to support decision-making and business planning.
  • Assist in managing
  • company-wide communication
  • , announcements, and executive directives.
  • Coordinate travel itineraries, visas, hotel bookings, and logistics for local and international trips.
  • Ensure smooth workflow between the MD’s office and all departments.
  • Handle ad-hoc tasks, urgent requests, and special assignments as required.

Requirements

  • Bachelor’s degree in Business Administration, Management, or related field.
  • **3-4 years of experience**
  • as an Executive Assistant, preferably supporting C‑level or MD/CEO roles.
  • Strong command of

MS Office Suite

  • (Excel, PowerPoint, Word, Outlook).
  • Excellent communication skills—professional, clear, and confident.
