We are seeking a highly proactive, meticulously organized, and resilient
Executive Assistant
to partner with our leadership team and act as the central driving force behind our daily operations.
Role Summary
The Executive Assistant will serve as a strategic operational partner to the executive team, ensuring seamless day-to-day operations and high-efficiency workflow management.
This role goes far beyond traditional administrative tasks; it demands a professional with
relentless follow-up skills
, exceptional tracking abilities, and the capacity to independently push pending tasks and corporate decisions through to completion across all departments.
Key Responsibilities
- **Rigorous Action-Item Follow-up:**
- Document comprehensive minutes during board and executive meetings, extract actionable tasks, and
- relentlessly follow up with department heads
- to ensure all deadlines (KPIs) and executive directives are fully met.
- **Administrative Project Tracking:**
- Own and manage minor administrative projects assigned by leadership,
- tracking every milestone proactively
- from inception to completion, and preparing status reports for executive review.
- **Proactive Schedule Governance:**
- Manage and safeguard the executives’ calendars, prioritizing high-level appointments while
- anticipating and following up on meeting confirmations
- , agendas, and preparatory briefing materials well in advance.
- **Cross-Functional Communication Liaison:**
- Act as a dependable bridge between executive management and internal departments (HR, Operations, Finance),
- vigorously following up on requested internal reports
- and data to ensure timely delivery.
- **Correspondence Tracking:**
- Draft, review, and manage high-level official correspondence and emails in both English and Arabic with absolute accuracy,
- actively tracking external responses
- and incoming feedback from partners and VIP stakeholders.
- **Office & Logistics Management:**
- Oversee day-to-day office administrative tasks, coordinate with vendors, manage office procurement, and
- systematically follow up on service agreements and contracts
- .
- **Information & Document Control:**
- Maintain a highly structured, confidential digital and physical archiving system, ensuring that all vital corporate records are easily trackable and retrievable.
& Qualifications
- **Education:**
- Bachelor’s degree in Business Administration, Human Resources, or a closely related field.
- **Experience:**
- 2-5 years of proven experience as an Executive Assistant, Office Manager, or a senior administrative role—preferably within fast-paced corporate environments, high-growth companies, or the sports sector.
- **Core Competency:**
- Demonstrated mastery in end-to-end task tracking, strong follow-up protocols, and accountability management.
- **Languages:**
- Native or professional fluency in both Arabic and English (written and spoken) is strictly mandatory.
- Candidates must be highly skilled in drafting executive corporate letters in both languages.
- **Technical Skills:**
- Advanced proficiency in MS Office Suite (Word, Excel, PowerPoint) and modern task-management or collaboration tools (Asana, Trello, ClickUp, or Slack).
- **Soft Skills:**
- Outstanding interpersonal communication skills, high emotional intelligence, and the confidence to follow up professionally with senior management.
- **Attributes:**
- High-level problem-solving mindset, exceptional attention to detail, absolute discretion with confidential data, and the ability to thrive under pressure.
