In this role, you will work closely with the Deputy Associate Director for Research, providing baseline logistical, scheduling, and coordination support for the International Cooperative Engagement Program for Polar Research (ICE-PPR).

Responsibilities:

  • Coordinate scheduling and logistical planning for events by liaising with venues, service providers, participants, U.S. Government officials, foreign officials, and embassies.
  • Identify and engage internal and external resources to secure materials and services; conduct event market research and provide analysis of at least three sources to the Government for vendor selection.
  • Create invitations, flyers, newsletters, read-ahead materials, and other event-related documents for in-person and digital programs.
  • Coordinate speakers and topics; assist with scripts or outlines for digital programs.
  • Track and report on short- and long-term milestones, ensuring functional support requirements are integrated and met.
  • Develop and maintain engagement and operational calendars for events.
  • Develop and update standard operating procedures (SOPs) for domestic and international events.
  • Participate in in-progress reviews and after-action reviews.
  • Collect and submit data to the Travel Office for guest travelers, as needed.
  • Travel to support in-person programs and assist with logistical and protocol support during execution, as needed.

Requirements:

  • Bachelor's degree.
  • Minimum of five (5) years of experience planning and conducting domestic and international events, such as workshops, outreach, or engagement activities, including integrating functional support activities into events. (Minimum years require confirmation; source states “five (3) years.”)
  • Experience working with senior leaders in the Department of War, other U.S. Government agencies, industry, or academia.
  • Proficiency in Microsoft Office Suite, especially Outlook, Word, and Excel.
  • Experience creating, coordinating, and maintaining calendars.
  • Secret clearance required by contract. Candidates without an active clearance may be considered for contingent hire, subject to obtaining the required clearance. This position does not involve working with classified information.

Preferred Qualifications:
