About This Role

Job Title: Document Controller

Job Summary:

The Document Controller is responsible for managing, organizing, and maintaining all project and company documents. The role ensures that all documents are properly controlled, updated, and easily accessible while maintaining confidentiality and compliance with company and project requirements.

Key Responsibilities:

  • Manage and maintain document control systems (electronic and hard copy).
  • Ensure proper filing, archiving, and retrieval of documents.
  • Control the issuance and distribution of drawings, reports, and technical documents.
  • Maintain document registers, logs, and tracking systems.
  • Ensure all documents are accurate, up-to-date, and properly approved before distribution.
  • Coordinate with departments, consultants, and contractors for document submissions and approvals.
  • Handle incoming and outgoing correspondence (letters, emails, transmittals).
  • Maintain version control and ensure only the latest revisions are in use.
  • Prepare and manage submittals, RFIs, and other project documentation.
  • Ensure compliance with company policies and project requirements.
  • Support audits by providing required documentation when needed.

Requirements:

  • Diploma or Bachelor’s degree in Business Administration or related field.
  • Minimum 1–3 years of experience as a Document Controller (preferably in construction or fit-out).
  • Proficiency in MS Office (Word, Excel, Outlook).
  • Experience with document management systems (e.g., Aconex, SharePoint, EDMS) is an advantage.
  • Strong organizational and time-management skills.
  • High attention to detail and accuracy.
  • Good communication skills.
