Career Opportunity – Dispatch Officer / Purchase Officer

Location: NAFFCO Qatar

We are seeking a detail-oriented **Dispatch Officer / Purchase Officer** who is coordinating purchasing activities, managing dispatch operations, ensuring timely deliveries, and maintaining effective communication between customers, suppliers, sales teams, accounts, maintenance sales, and project teams.

The role focuses on ensuring smooth order fulfillment, accurate delivery scheduling, inventory availability monitoring, and customer satisfaction.

Key Responsibilities

  • Coordinate and schedule deliveries to customers.
  • Update sales order status, delivery status, and ETAs for available items and communicate updates to the concerned departments.
  • Follow up with the Purchasing Department regarding non-available items and procurement status.
  • Coordinate with suppliers to ensure timely delivery of materials and products.
  • Follow up with customers regarding delivery schedules, concerns, and requirements.
  • Coordinate with the Accounts Department on invoice-related matters and documentation.
  • Coordinate with Maintenance Sales and Project Teams for project initiation and execution processes.
  • Monitor and track customer orders from order receipt until successful delivery.
  • Prepare and maintain dispatch, delivery, and purchasing records.
  • Ensure all delivery documents and purchase records are accurate and up to date.
  • Work closely with Sales, Warehouse, Logistics, and Procurement teams to ensure smooth operations.
  • Report any delays, shortages, or operational issues to management and propose solutions.

Requirements

  • Diploma or Bachelor's Degree in Business Administration, Logistics, Supply Chain, or a related field.
  • Minimum 2 years of experience in dispatch, logistics, purchasing, or coordination roles.
  • Good knowledge of Microsoft Office and ERP systems.
  • Strong communication, organizational, and coordination skills.
  • Ability to work under pressure and manage multiple tasks efficiently.
