Accountability Area

  • Administrate the reception area to maintain its appearance as per the set standards.
  • Acknowledge and appropriately greet and assist every visitor in a timely manner.
  • Manage telephone calls professionally, efficiently and with good communication skills, take and relay messages, operate a switchboard, route calls to specific people and answer inquiries about company.
  • Keeping a visitors registry book and ensuring it is filled properly
  • Sending outgoing as well checking incoming faxes daily and distributing them to a concerned department.
  • Handling daily emails which are sent to company’s main email address, acting upon them in a timely manner by forwarding the mail to the concerned department.
  • Coordinate the flow of mail and goods in and out of office.
  • Respond to a variety of requests, questions, and inquiries via the telephone or in person in a courteous, efficient and timely manner.
  • Maintain a record of staffs going in and out of the office premises to ensure that calls and visitors were directed to the concerned staff or department without any delay.
  • Manage meeting rooms by organizing meetings schedules, assist in the planning and preparation of meetings, conferences and conference telephone calls and maintain tidy and clean meeting Rooms.
  • Manage head office stores and maintain office stationeries and consumables and maintain an adequate inventory of office supplies
  • Performs clerical and administrative support such as photocopying, filing and typing as directed by Line Manager
  • Perform other duties as assigned by the Direct Manager

Education

  • Minimum High School Diploma, Bachelor’s Degree or Diploma in any discipline with Relevant Experience preferred

  • Minimum of one year of experience in a Customer Service Related Position
  • .
  • Ability to identify and meet customers’ needs and requirements. Demonstrated excellence in organization and time management skills. Exceptional phone and customer service skills and must have a positive attitude
