Role Overview

Key Responsibilities

• Manage patient appointment scheduling, pre-treatment consultations, and post-treatment follow-ups using clinic management software
• Greet and check-in patients with clinical professionalism; collect medical history, contraindications, and consent forms
• Coordinate with dermatologists and aesthetic practitioners on patient flow and treatment timelines
• Answer clinical inquiries about treatments, procedures, recovery expectations, and contraindications with knowledge and accuracy
• Manage patient confidentiality and medical records in compliance with healthcare data protection standards
• Process treatment payments, invoices, and package sales
• Handle patient feedback, concerns, and escalate clinical issues to the medical director
• Maintain the clinic reception area to medical-grade cleanliness and presentation standards
• Support pre- and post-procedure patient communication (appointment reminders, recovery care instructions)

Required Experience & Qualifications

• Minimum 2–3 years of receptionist or front-desk experience in a dermatology clinic, cosmetic surgery practice, medical spa, or aesthetic medical centre
• Demonstrable background in healthcare, aesthetic medicine, or cosmetology clinic operations
• Strong understanding of aesthetic and dermatological treatments, patient safety protocols, and medical ethics
• Excellent verbal and written communication in English (mandatory)
• Experience managing patient records, medical history forms, and healthcare confidentiality requirements
• Proficiency in clinic management software (e.g., Zoho, Cliniko, or similar) — essential
• Professional presentation and calm, reassuring demeanor with patients
• Ability to handle treatment-related patient questions and concerns with clinical sensitivity
• Currently based in the UAE with valid residence visa

Preferred

• Certification in medical reception or healthcare administration
• Familiarity with aesthetic and dermatological treatments (injectables, lasers, HIFU, PRP, etc.)
• Previous experience in premium or high-end aesthetic clinics
• Knowledge of Arabic in addition to English
