As we scale our operations, we are looking for a proactive and organised Client Coordinator to manage the full client journey.
Role Overview
The Client Coordinator is the glue between the clinic's sales, clinical, and administrative functions.
You will manage the client experience end-to-end — from first inquiry to post-treatment follow-up — ensuring every touchpoint reflects the premium standards of Modern Aestheticss.
Key Responsibilities
- Manage the full client lifecycle: inquiry → consultation → treatment → follow-up → retention
- Respond promptly to inbound leads via WhatsApp, Instagram DMs, phone, and walk-ins
- Qualify leads and schedule consultations with the medical team
- Follow up with prospective and existing clients to drive bookings and re-bookings
- Educate clients on available treatments, packages, and promotions
- Coordinate between the clinical team and clients to ensure smooth appointment flow
- Maintain accurate client records and update the CRM system daily
- Support the execution of promotional campaigns and seasonal offers
- Gather and log client feedback and reviews
- Assist in onboarding new clients and ensuring a premium welcome experience
Requirements
- Minimum 2 years of experience in a client-facing coordination, customer service, or patient management role
- Experience in an aesthetic clinic, medical spa, hospital, or luxury service environment strongly preferred
- Excellent communication skills in English (mandatory); knowledge of Arabic, Hindi/Urdu, or Russian is a plus
- Highly organised, detail-oriented, and proactive
- Comfortable managing multiple conversations and follow-ups simultaneously
- Proficiency in WhatsApp Business, basic CRM tools, and Microsoft Office
- Warm, empathetic, and professional client-handling manner
- Currently based in the UAE
