About Glassworks London

Glassworks London is an independent women’s fashion retailer founded in 2010, operating across retail, ecommerce, sourcing, product, marketing and fulfilment.

The company is building a more scalable, systems-led organisation with clearer ownership, better operating visibility and increased use of AI-assisted workflows.

The Role

The Business Systems & Technology Operations Lead turns business problems, manual workflows and founder-held processes into reliable operating systems and usable technology.

The role owns diagnosis, requirements, solution selection, configuration, implementation, testing, rollout, adoption and ongoing improvement.

The role reports initially to the Founder and CEO and works with the Head of Business Operations and functional owners.

Physical device support at UK sites sits with Operations and Facilities.

Working Pattern and Location

  • This is a full-time remote role.
  • Applicants may be based outside the UK, including India, South Africa or Eastern Europe, but must work substantially within UK business hours.

Key Responsibilities

  • Diagnose business problems and design workflows, systems, databases, dashboards, reporting infrastructure and SOPs.
  • Evaluate, configure and implement business systems, integrations and automation, coordinating external specialists where needed.
  • Coordinate data mapping, migration and validation and manage source-of-truth rules.
  • Plan and run testing and UAT, including permissions, edge cases, failed integrations and fallback processes.
  • Own rollout, training, adoption monitoring, documentation and post-launch improvement.
  • Manage software administration, SaaS inventory, licences, domains, hosting, Google Workspace, cloud storage, permissions and joiner, mover and leaver workflows.
  • Build decision-support reporting and convert appropriate AI-assisted work into controlled, repeatable workflows.
  • Improve file, document and knowledge-management infrastructure and turn founder-held knowledge into controlled workflows.

Potential Workstreams

Workstreams may include WMS and inventory, fulfilment and shipping, returns, ecommerce, CRM and customer service, finance and HR systems, product data, access management, reporting and BI, automation and internal decision systems.

What the Company Is Looking For

  • Evidence of personally implementing meaningful business systems rather than only recommending tools.
  • Ability to turn unclear business problems into practical systems and extract knowledge from founders, managers and subject-matter experts.
  • Experience with software and vendor evaluation, configuration, implementation, integrations, automation, APIs and webhooks.
  • Experience with structured data, mapping, migration, validation, UAT, QA, edge cases and failure handling.
  • Experience with permissions, access, source-of-truth discipline, technology administration, rollout, training and adoption.
  • Experience implementing practical AI workflows, managing external specialists and simplifying complex processes without over-engineering.
  • A tool-agnostic approach focused on choosing the simplest useful system.
