Administrative Coordinator (AI-Focused) – Executive Search
📍 Barsha, Dubai (Office-based)
Future Talent Arabia is hiring an organised, proactive Administrative Coordinator to support our executive search work in Dubai. This is a hands-on role for someone who’s excellent at keeping things moving; calendars, candidate coordination, documentation while also using AI tools sensibly to speed up workflows and improve quality.
What you’ll do
- Coordinate interviews and meetings (often across time zones) and keep diaries running smoothly
- Support the search process: candidate packs, shortlists, interview agendas, offers and onboarding documents
- Maintain accurate records in our CRM/ATS and keep pipelines up to date
- Draft polished emails and updates for clients and candidates
- Use AI tools to streamline admin (summaries, templates, formatting, workflow improvements) while protecting confidentiality
What we’re looking for
- 3+ years in admin/coordinator roles (recruitment, professional services, or similar is a plus)
- Strong communication skills and confidence working with senior stakeholders
- Very high attention to detail and great follow-through
- Comfortable using AI tools in daily work (without relying on them)
- Discreet and professional with sensitive information
