Administrative Assistant
to join our team!
• What You'll Be Doing
- Collects statistics and general data, reviews the information, and compiles it into standard reports for use within and outside the unit.
- Prepares reports in spreadsheet, graphical, or narrative formats; may develop new reports or update existing ones as directed.
- Verifies collected data, such as checking supplier invoices against file copies or other records, and distributes finalized reports as instructed by the supervisor.
- Drafts and formats routine correspondence, memos, and simple reports that do not require the direct attention of the supervisor.
- Answers and directs incoming telephone calls, takes accurate messages, and ensures timely follow-up.
- Receives, sorts, and distributes incoming and outgoing mail and deliveries.
- Establishes and maintains records and logs (e.g., equipment inventory and service dates), and may initiate service requests when required.
- Assists with gathering basic data for the unit’s overhead budget and prepares related recurring reports; may complete preliminary reconciliations as appropriate.
- Supports coordination of office space needs for the unit, including initiating requests for PCs and telephones, and updating the Corporate Directory as needed.
- Assists in preparing occupancy or staffing reports and gathering information for unit or project presentations as directed by the supervisor.
- Performs other related administrative and clerical duties as assigned to support the team.
What Required Skills You'll Bring
- Degree or diploma from a recognized institution
- Ideally 2 years’ experience as an administrative roles

- Experience with office software programs such as email, word processing, spreadsheets, graphics, power point and databases (i.e. MS Office suite of software)
- Possess and demonstrate strong organizational skills, attention to detail, and written and verbal communication skills in English and Arabic
- Possess and demonstrate the ability to self-start, set priorities, and work both independently and within a team environment under deadlines
