Overview
Almaskan Aljameel Technical Services is seeking an Administrative Assistant to support daily office operations, manage documentation, and assist with scheduling and coordination of technical service requests.
This role is responsible for handling administrative tasks, maintaining records, and supporting communication between clients and field technicians.
The position reports to the Office Manager or Operations Manager.
Key Responsibilities
- Answer and direct phone calls, respond to emails, and greet visitors to the office
- Maintain and organize office files, records, and documentation including service requests, work orders, and client files
- Prepare and format correspondence, reports, spreadsheets, and service confirmations as requested
- Schedule service appointments and coordinate calendars for field technicians and management staff
- Assist with data entry and maintain accuracy of information in the service management database
- Process incoming and outgoing mail, packages, and courier deliveries
- Monitor office supply inventory and place orders as needed
- Assist with basic bookkeeping tasks including expense tracking and invoice filing
- Support operations team with general clerical duties including photocopying, scanning, and filing
- Coordinate with field technicians to relay service updates and schedule changes
- Maintain confidentiality of client information and company records
Requirements
- High school diploma or equivalent; diploma or certificate in Business Administration or related field is preferred
- Minimum 1 year of experience in an administrative, clerical, or office support role, preferably in a technical services, maintenance, or facilities management environment
- Proficiency in Microsoft Office applications including Word, Excel, and Outlook
- Good written and verbal communication skills in English; proficiency in Arabic is required
- Strong organizational skills with attention to detail and accuracy
- Ability to manage multiple tasks and prioritize effectively
- Professional demeanor and ability to maintain confidentiality
- Reliable and punctual with consistent attendance
- Pay: AED5,000.00 - AED6,000.00 per month
