The Inventory Controller is responsible for managing, monitoring, and maintaining accurate records of all inventories within the private residence.
This includes household supplies, operational materials, equipment, and other assets.
The role ensures proper stock tracking, timely replenishment, and accurate reporting to support smooth day-to-day operations.
The Inventory Controller also safeguards stock integrity by conducting regular audits, preventing losses, and ensuring all inventory is properly stored, documented, and accounted for in line with internal policies and confidentiality standards.
Qualifications & Experience
- Diploma or bachelor’s degree in supply chain management, Logistics, Business Administration, or a related field
- Certification in Inventory Management, Procurement, or Supply Chain is an advantage.
- Minimum 2–4 years in an Inventory Controller, Stock Controller, or similar role.
- Experience within private households, luxury hospitality, or VIP/UHNW environments is preferred.
- Proven experience in managing stock levels, inventory systems, and procurement coordination.
- Strong background in handling physical stock counts, audits, and reporting.
Key Skills And Knowledge
- Strong inventory management and stock control skills
- High level of accuracy and attention to detail
- Proficiency in Microsoft Office (Excel, Word, Outlook) and inventory systems/software
- Strong numerical and analytical skills
- Good understanding of procurement processes and supply chain basics
- Ability to conduct audits and reconcile stock discrepancies
- High level of discretion and confidentiality
- Strong organizational and time management skills
- Ability to manage multiple inventory categories across different locations
Inventory Control & Stock Management
- Maintain accurate records of all inventory items, including household supplies, consumables, and operational materials.
- Monitor stock levels and ensure timely replenishment to avoid shortages or excess stock
- Conduct regular physical stock counts and reconcile with system records.
- Ensure proper labelling, storage, and organization of all inventory items.
- Track movement of goods between storage locations and departments
Procurement & Coordination
- Coordinate with suppliers and procurement teams for stock ordering and replenishment.
- Prepare purchase requests based on stock levels and consumption patterns.
- Follow up on deliveries to ensure timely receipt and accuracy of orders.
- Assist in evaluating supplier performance and product quality
Reporting & Documentation
- Maintain accurate inventory logs, registers, and system records.
- Prepare regular inventory reports for management review.
- Report discrepancies, damages, or losses promptly
- Ensure all inventory documentation is properly filed and updated
Audit & Compliance
- Conduct regular inventory audits and spot checks.
- Ensure compliance with internal inventory control procedures.
- Identify and investigate discrepancies between physical stock and system records.
- Support implementation of improved inventory control processes.
Systems & Data Management
- Use inventory management systems and Microsoft Excel to track stock movement.
- Update digital records in real time to ensure data accuracy.
- Maintain integration between physical stock and system data
Attention To Detail & Asset Care
- Ensure all inventory items are properly accounted for, stored, and maintained.
- Monitor product condition and expiry dates where applicable.
- Ensure accuracy in all stock transactions and documentation.
- Maintain a high level of responsibility in handling valuable and sensitive assets.
