Purpose Of Position

As the Treatment Coordinator at Furless Permanent, your primary role is to oversee the day-to-day interactions with both prospective and existing clients.

This pivotal position involves building and maintaining client relationships, enhancing customer loyalty, contributing to the achievement of sales targets, and actively participating in the development of effective promotional strategies.

Reporting directly to the executive team, you will also play a vital role in monitoring and improving customer relationship management (CRM) performance.

Key Responsibilities

  • 1 ) New Clients - Consultations, Sales and Lead Management
  • Conduct consultations with clients to comprehensively understand their hair removal needs and expectations, while providing thorough explanations of the electrolysis process and available treatment options.
  • Actively manage leads generated from various platforms, including social media, WhatsApp, calls, and emails, by leveraging our CRM systems to optimize lead conversion.
  • Maintain consistent communication with the Marketing and Operations teams to provide valuable feedback.
  • Exceed or meet monthly and quarterly sales targets for new leads.

2) Existing Clients - Retention And Sales

  • Foster trust and long-term relationships with existing clients by engaging with them both before and after treatments to ensure their satisfaction.
  • Promote client retention by proactively pre-scheduling appointments, upselling additional services, and increasing treatment hours.
  • Manage client feedback, complaints, and resolve exceptional client cases in a proactive manner.
  • Collaborate closely with Therapists to ensure they are well-prepared for each client's treatment session.
  • Provide consistent constructive feedback to operational teams to align with client expectations and drive overall business enhancements - customer excellence.
  • Plan, schedule, and execute external communications, including mailings related to events, offers, and promotions.
  • Achieve or exceed monthly and quarterly sales targets for existing clients.

3) Administrative Duties, CRM Management, and Reporting

  • Maintain meticulous client records, including comprehensive treatment history and progress, ensuring data accuracy and completeness through the utilization of various systems and software.
  • Facilitate billing and payment processing with a commitment to precision and confidentiality.
  • Generate weekly and monthly performance reports as required by the CEO and CFO.

Qualifications

  • 3-5 years of experience in customer service, sales, client relations, or relationship management roles.
  • A university/college degree or equivalent is highly desirable; a background in beauty therapy or cosmetology is advantageous.
  • Knowledge of electrolysis hair removal procedures is a plus.
  • Proven track record of meeting and surpassing targets and relevant KPIs, including customer satisfaction metrics.
  • Proficiency in MS Office applications, with a working knowledge of CRM platforms and salon software.
  • Strong interpersonal and communication skills, both written and verbal (proficiency in Arabic is an advantage).
  • Approachable demeanor, well-presented, and deeply committed to delivering exceptional customer service.
  • A collaborative team player comfortable in a multicultural environment.
  • Highly organized, detail-oriented, and skilled in administrative tasks.
