Systems Administrator / Process Coordinator

Job summary

System and operations coordination

• Coordinate between inspectors, technical heads, and the application developer.
• Collect, analyze, and consolidate system issues, improvement requests, and functional gaps from end users.
• Track issues involving inspection reports, certificates, workflows, and data accuracy.
• Follow up with the developer on bug fixes, enhancements, and deployment updates.
• Support inspectors in correct application use and adherence to defined processes.
• Map inspection, certification, and reporting workflows into system tasks and user requirements.
• Participate in user acceptance testing and verify implemented changes.

Quality assurance and document control

• Maintain QA procedures, work instructions, templates, and records.
• Control and update inspection logs, system records, and audit-related documents.
• Ensure document version control, traceability, and proper approvals.

Required skills and competencies

• Strong coordination and communication skills and a good understanding of business processes and operational workflows.
• Ability to work with developers and other technical teams as well as inspectors and field teams.
• Basic understanding of QA systems and document control.
• Comfort with web-based applications and digital platforms.
• Problem-solving mindset with follow-through capability.

Preferred qualifications

• A diploma or bachelor's degree in engineering, Quality, IT, or Business Administration is preferred.
• Experience in inspection, certification, QA, or compliance-driven environments is advantageous.
• Familiarity with ISO-based systems, including ISO 9001 or ISO/IEC 17020, is a plus.
• Experience coordinating with software developers or IT vendors is preferred.
