The role

Join our successful and dynamic Strategic Events Team, providing high-quality administrative support to help deliver an exciting programme of strategic events for the University.

We are recruiting a Strategic Events Assistant to join the Strategic Events Team within the Global Engagement Division (GED).

The Strategic Events Team is responsible for delivering the University's strategic events programme, supporting the University's strategic aims and creating outstanding experiences for partners, alumni and other key stakeholders. The programme includes senior-level, civic, alumni, philanthropic, international, University profile and VIP events across the University's global communities.

As the Strategic Events Assistant, you will provide essential support to the planning and delivery of a diverse programme of events. You will act as a first point of contact for enquiries, maintain accurate guest lists and event records, prepare event materials and communications, and support event registration. You will work closely with colleagues to ensure events are well organised, inclusive and deliver an excellent experience for all attendees.

What will you be doing?

Providing administrative and operational support across the planning and delivery of events, including managing enquiries, co-ordinating meetings and preparing documents, correspondence and other event information.

Managing event mailboxes, guest lists, databases and event records, ensuring information is accurate, up to date and readily accessible.

Supporting event communications and materials, including invitations, presentations and promotional content, working with marketing and communications colleagues where appropriate.

Supporting event registration, including staffing registration desks and information points, and supporting attendees.

Supporting event logistics and administration, including requisitioning, budget processes and liaising with venues on matters such as access, equipment, and room layouts.

Providing a high standard of customer service to a diverse range of attendees, colleagues and stakeholders, taking ownership of issues, supporting staff and volunteers at events and escalating urgent matters where appropriate.

You should apply if

You have experience of providing effective administrative support in a busy environment.

You have excellent planning and organisational skills, with the ability to manage changing priorities, work autonomously and deliver accurate work to deadlines with a strong attention to detail.

You have excellent communication and interpersonal skills and can provide a high-quality customer experience when working with a wide range of colleagues, stakeholders and event attendees.

You have excellent IT skills, including a strong working knowledge of Microsoft Office, email, web and general office systems, with experience of managing information through databases and spreadsheets.

You are proactive, adaptable and solutions-focused, with the ability to work collaboratively, take ownership of problems and use your initiative to provide effective support.

You enjoy working with people from different nationalities and backgrounds and are committed to delivering inclusive, welcoming and high-quality experiences for all attendees.

Work pattern: Monday - Friday, 35 hours per week.

Hybrid working arrangement: The team typically comes together on campus every Wednesday. Due to the nature of our work and the events we deliver, there are also frequent opportunities and requirements to be on-site on other days of the week.

Our strategy and mission

We recently launched our strategy to 2030 tying together our mission, vision and values.
