Key Responsibilities
· Set up and maintain the site office, ensuring availability of all essential supplies, proper workspace arrangement, and basic utilities for staff and visitors.
· Handle petty cash for site-related expenses, maintain accurate records of disbursements, and submit reports with proper documentation and receipts to the accounts team.
· Maintain and update site records such as attendance registers, labor deployment sheets, gate passes, material delivery notes, equipment logs, subcontractor agreements, and inspection reports.
· Monitor daily attendance of all site personnel and labor (including subcontractors), update attendance registers, and prepare monthly timesheets for payroll processing.
· Prepare and submit daily manpower and progress reports, ensuring accuracy and timely communication with the project team and head office.
· Act as the primary administrative liaison for the site, handling day-to-day queries from the site team and communicating with the HR and admin departments at head office.
· Draft, format, and distribute official letters, memos, notices, and reports as instructed by the Project Manager.
· Raise and follow up on material requests, gate passes, equipment movement, and vehicle arrangements required at site.
· Support in obtaining permits, arranging municipality or consultant inspections, and following up on inspection schedules and documentation.
· Coordinate logistics for site visits, including arranging transport, refreshments, visitor access, and ensuring proper site induction and safety gear for guests.
· Track delivery and usage of construction materials and coordinate with the procurement or logistics teams in case of any shortages or delays.
· Assist the HSE team in collecting and maintaining records related to inductions, medical checks, PPE issuance, and safety toolboxes.
· Oversee site welfare facilities such as water supply, washrooms, rest areas, and first aid boxes, and ensure timely maintenance or replenishment as needed.
· Provide any other administrative support required by the Project Manager or site engineers, especially during critical phases of the project.
Requirements
· Diploma in engineering or bachelor’s degree in any discipline.
· 4 or more years of experience as a site admin with construction companies in UAE on building or villas projects.
Job Type: Full-time
Pay: AED2,500.00 - AED4,500.00 per month
