Overview

of the Role

Al-Futtaim Automotive is seeking a highly organized and commercially aware Sales Coordinator to support the end-to-end sales operations of the showroom.

The role acts as the operational backbone of the sales team, ensuring accurate documentation, seamless customer journey management, and strong cross-functional alignment between Sales, Finance, Logistics, Registration, and Aftersales.

The Sales Coordinator plays a critical role in protecting sales conversion, accelerating delivery cycles, and safeguarding data accuracy across CRM and ERP systems.

This position directly contributes to showroom productivity, customer satisfaction, and the achievement of monthly sales targets within a fast-paced automotive retail environment.

Sales Operations Support

  • Coordinate daily showroom sales activities and provide structured administrative support to Sales Consultants and the Sales Manager
  • Prepare quotations, sales orders, proforma invoices, and delivery documentation accurately and on time
  • Maintain a real-time view of vehicle availability, stock allocation, and pipeline status in coordination with the inventory team
  • Track booking-to-delivery cycle times and proactively resolve bottlenecks impacting customer handover

Customer Journey & CRM Management

  • Update and maintain customer records, lead status, and sales pipeline data within the CRM system
  • Follow up on customer inquiries, bookings, test drive schedules, and pending documentation
  • Ensure customer information is accurate, complete, and compliant with internal data standards
  • Support customer communication across the sales lifecycle, ensuring a premium showroom experience

Cross-Functional Coordination

  • Liaise with Finance teams on payment confirmations, deal approvals, and documentation closure
  • Coordinate with Registration, Insurance, and Logistics teams to ensure timely and compliant vehicle delivery
  • Work closely with Aftersales and PDI teams to align vehicle readiness with customer handover schedules
  • Act as the primary point of coordination between the Sales floor and back-office support functions

Reporting & Analytics

  • Prepare daily, weekly, and monthly sales reports including bookings, deliveries, stock status, and target tracking
  • Support the Sales Manager with forecasting inputs, dashboard updates, and ad hoc commercial reports
  • Maintain accuracy of CRM and ERP data to ensure reliable reporting and management visibility
  • Track KPIs related to documentation turnaround, delivery timelines, and pipeline conversion

Compliance & Governance

  • Ensure all sales transactions comply with Al-Futtaim policies, brand standards, and KSA automotive regulations
  • Maintain proper documentation, audit readiness, and adherence to internal control requirements
  • Support showroom compliance during internal audits and brand inspections

Showroom & Campaign Support

  • Assist in the execution of promotional campaigns, showroom events, and customer engagement activities
  • Coordinate logistics for product launches, test drive events, and seasonal sales activations
  • Support the team in preparing customer-facing materials and ensuring showroom readiness

Required Skills to Be Successful

  • Strong organizational and multitasking ability with the discipline to manage high transaction volumes
  • Excellent communication and interpersonal skills for engaging customers and internal stakeholders
  • High attention to detail and accuracy in documentation and data entry
  • Strong coordination skills across Finance, Logistics, Registration, and Aftersales functions
  • Proficiency in Microsoft Excel, Word, and PowerPoint, with strong reporting capability
  • Customer-focused mindset with a problem-solving and ownership-driven approach
  • Ability to perform under pressure, meet deadlines, and support month-end closing cycles

What Qualifies You for the Role

  • Bachelor’s degree in business administration, Sales, Marketing, or a related field
  • Diploma holders with strong automotive sales coordination experience will also be considered
  • 1 to 4 years of experience in sales coordination, sales support, or dealership operations
  • Prior experience within the automotive industry is highly preferred
  • Hands-on experience with CRM systems, ERP platforms (SAP / Oracle / Autoline / Kerridge or equivalent), and sales reporting tools
  • Familiarity with KSA vehicle registration, insurance, and delivery processes is an advantage
  • Knowledge of automotive finance and insurance coordination is a plus
