The Receptionist & Member Experience Associate is the first point of contact for members, guests, and prospective clients.
This role combines hospitality, member support, administrative coordination, and sales assistance to ensure an exceptional experience while contributing to the studio’s growth.
The ideal candidate is highly organized, personable, proactive, and comfortable communicating with members and prospects across multiple channels.
This role plays a key part in managing the member journey, supporting sales activities, and maintaining accurate CRM records.
Key Responsibilitiesmember Experience & Front Desk Operations
- Welcome members and guests with warmth, professionalism, and enthusiasm.
- Create a positive and welcoming studio environment.
- Assist members with bookings, schedule changes, and account inquiries.
- Ensure a seamless experience from arrival to departure.
- Handle member concerns and escalate issues when necessary.
Communication & Client Support
- Respond promptly and professionally to incoming calls, WhatsApp messages, emails, and social media inquiries via CRM
- Maintain ongoing communication with existing members and prospective clients.
- Follow up with trial attendees, inactive members, and leads to enhance engagement and conversion.
- Provide accurate information regarding memberships, schedules, services, and studio offerings.
- Support member retention through proactive communication and relationship building.
Sales Support & Lead Management
- Assist prospects throughout the inquiry and booking process.
- Schedule trials, consultations, and introductory sessions.
- Conduct follow-ups to nurture leads and support membership conversions.
- Manage & collaborate with the Studio Manager and coaching team to achieve sales and retention goals.
- Support and manage membership renewals, upgrades, and promotions.
- Help maintain a high lead conversion rate through timely and effective communication.
Crm Management & Administration
- Maintain accurate and up-to-date member and prospect records in the CRM system.
- Track leads, follow-up activities, and conversion status.
- Ensure all communications and interactions are properly documented.
- Generate reports and provide insights on lead activity and member engagement when required.
- Maintain organized records and support administrative tasks as needed.
Team Collaboration
- Work closely with the Studio Manager, Operation Manager, Head Coach, and coaching team to deliver a seamless member experience.
- Support studio events, challenges, and community initiatives.
- Uphold BFT brand standards and contribute to a positive studio culture.
Qualifications
- Previous experience in customer service, reception, administration, sales support, or hospitality preferred.
- Excellent verbal and written communication skills.
- Strong interpersonal skills and a customer-first mindset.
- Comfortable managing multiple conversations and tasks simultaneously.
- Experience using CRM systems and digital communication tools is preferred.
- Strong organizational skills and attention to detail.
- Ability to thrive in a fast-paced, team-oriented environment.
- Passion for fitness, wellness, and building community is a plus.
