- Greet and welcome visitors, clients, and guests in a professional and friendly manner.
- Direct visitors to the appropriate person or office and inform staff of their arrival.
- Answer, screen, and forward incoming phone calls; take and relay accurate messages when required.
- Respond to basic inquiries in person, by phone, and via email, providing accurate information about the company and services.
- Maintain a tidy, organized, and presentable reception area, including ensuring availability of forms, brochures, and stationery.
- Receive, sort, and distribute incoming mail, courier deliveries, and packages; arrange outgoing mail and shipments.
- Schedule and update meeting room and office calendars, and support booking of appointments or internal meetings.
- Perform general administrative tasks such as filing, scanning, photocopying, data entry, and document preparation.
- Assist with ordering, monitoring, and maintaining office supplies for the reception/front office area.
- Support implementation of basic security procedures by monitoring visitor access, maintaining a logbook, and issuing visitor badges.
- **Skills and competencies :**
- Strong communication and interpersonal skills, with a customer-oriented attitude.Professional appearance and behavior, with the ability to represent the company positively at all times.
- Excellent organization and time management skills, with the ability to handle multiple tasks simultaneously.
- Attention to detail and accuracy in handling messages, documents, and visitor information.
- Ability to remain calm, polite, and solution-oriented when dealing with complaints or high visitor volume.
