Person specification

• Competent in general administration, including filing, photocopying, and typing correspondence or emails.
• PC literate; Excel, Outlook, and other Microsoft Office applications are essential.
• Maths and English at grade C or above, or equivalent.
• Professional presentation and telephone manner; confident, reliable, and positive attitude.
• Able to work under pressure in a fast-paced environment.

Responsibilities

• Operate the multi-line telephone system and direct calls to the appropriate staff or department.
• Manage the main office doors and follow security procedures; greet clients and guests and prepare refreshments as appropriate.
• Book meeting rooms and manage room diaries for head-office staff.
• Receive, sort, and distribute incoming mail and parcels; manage outgoing post, record deliveries, and apply appropriate postage.
• Assist with meeting lunches and refreshments and maintain paper and electronic filing systems.
• Support PA duties, including purchase orders, price comparisons, and ad hoc business tasks.
