About This Role
· Handling telephone calls from clients and sites and within as required.
· Following up of update on quotations SDO’s and then updates
· Allocating reference number for memos and letters according to procedure
· Giving outgoing letter/memo/quotation reference numbers
· Following up with serve u site office on quotations /letters/enquiry forms which are not sent for our master file
· Once a month sending the quotations updates to sites to updates all job numbers opened/cancelled or lost
· Communication with all relevant persons as required and directed by the Department Head and Engineers.
· Typing of all correspondence as might be required.
· Direct Employees/ Visitors coming to office and directing them to the concerned Departments
· Entering all incoming faxes / taking photocopies and distributing to the concerned Departments /site offices /Managers.
· Distribution of documents/ letters to the concerned departments sent from sites/ Camp/ Post office.
· Distribution of cheques to the clients.
· Make international call as directed by HR department.
· Receiving courier documents
· Taking massages for the staff /managers in case they were not in the Head Office
· Sometimes arranging transport for documents to be collected and even to send employees back to camp.
