1. Front Desk Management
- Greet and welcome visitors in a professional and friendly manner
- Direct guests to the appropriate person or department
- Maintain a tidy and presentable reception area
2. Communication Handling
- Answer, screen, and forward incoming phone calls
- Respond to emails and general inquiries promptly
- Take and relay accurate messages
3. Administrative Support
- Perform basic clerical tasks such as filing, photocopying, and data entry
- Manage office correspondence (emails, letters, packages)
- Assist other departments with administrative duties when needed
4. Appointment Scheduling
- Schedule, confirm, and manage appointments or meetings
- Maintain calendars for staff or management
- Coordinate meeting room bookings
5. Customer Service
- Handle client or visitor concerns professionally
- Provide information about services, policies, or directions
- Ensure a positive first impression of the organization
6. Record Keeping
- Maintain visitor logs and records
- Update and organize contact lists and databases
- Ensure confidentiality of sensitive information
7. Office Coordination
- Monitor and order office supplies
- Coordinate with maintenance or service providers when necessary
- Assist in organizing office events or meetings
8. Security & Compliance
- Follow security procedures for visitors (sign-in, ID checks if required)
- Ensure workplace policies are followed
- Report any unusual or suspicious activity
