Role Summary
As PMO Analyst, you will support the Programme Lead and delivery teams by providing accurate project tracking, reporting, and coordination across multiple projects.
This is a hands-on, detail-focused role centred on maintaining project data, updating tracking sheets, collating status updates, and ensuring actions, time, and reporting are consistently managed. You will work closely with project team members based in Dubai, the UK, and China, acting as a central coordination point across time zones.
Key Responsibilities
Maintain and update project tracking spreadsheets and registers, primarily using Microsoft Excel.
Collate weekly and monthly status updates from project managers and workstream leads.
Produce consolidated programme-level reports and summaries for the Programme Lead.
Maintain action logs, ensuring actions are captured, assigned, followed up, and closed.
Track project milestones, risks, issues, dependencies, and key delivery dates.
Maintain and update RAID logs across all active projects.
Collect, validate, and report time-tracking data using Jibble, highlighting missing entries and variances.
Support effort tracking and provide input into cost and resource reporting.
Set up and maintain Microsoft Teams channels for projects, including document structure and access.
Support programme governance activities, including meeting preparation, minutes, and action follow-up.
Ensure consistency and accuracy of project data in line with PMO standards.
Support continuous improvement of PMO templates, reports, and processes.
Required Skills & Experience
4-5 Years of core experience.
Experience in a PMO Analyst, PMO Coordinator, or Project Support role.
Strong practical experience using Microsoft Excel for tracking, reporting, and data consolidation.
Experience managing action tracking and follow-ups across multiple stakeholders.
Familiarity with time-tracking tools, ideally Jibble or similar systems.
Confident use of Microsoft Teams for project coordination and communication.
Excellent attention to detail and a structured, methodical working style.
Strong organisational skills with the ability to manage recurring reporting cycles.
Clear and professional written and verbal communication skills.
Preferred Qualifications
Experience supporting programme or portfolio-level PMO functions.
Familiarity with PMO tools such as Smartsheet, Jira, Confluence, Power BI, or MS Project.
Understanding of Agile, Waterfall, or hybrid delivery environments (from a reporting perspective).
Experience in telecoms, technology, or infrastructure delivery environments.
Entry-level or foundation PMO / project management certification (PRINCE2 Foundation, P3O, or similar).
