Role Description
This is a full-time, on-site Project Coordinator with Authority Approvals role located in Dubai, United Arab Emirates.
The Project Coordinator will oversee the planning, execution, and completion of projects, ensuring alignment with company standards.
Day-to-day responsibilities include coordinating with teams, liaising with authorities for necessary approvals, tracking project progress, preparing documentation, and ensuring compliance with local regulations and timelines.
Location: UAE
Experience Required: Minimum 2-5 Years (UAE experience preferred)
Key Responsibilities
- Coordinate daily project activities with internal teams, clients, consultants, contractors, and suppliers
- Handle all authority approvals, permit submissions, gate passes, and entry permit processes for interior fit-out projects
- Prepare and submit required documents, drawings, NOCs, and applications to relevant authorities
- Follow up with authorities for approvals, inspections, permit status updates, and compliance requirements
- Maintain project documentation, records, and document version control
- Track project schedules, milestones, and deadlines to ensure timely project completion
- Coordinate with design and site teams to ensure compliance with authority regulations and project standards
- Assist in project planning, procurement coordination, and site execution activities
- Prepare project reports, meeting minutes, progress updates, and submission trackers
- Ensure all project documentation complies with company policies and authority standards
- Support Project Managers in delivering projects smoothly, efficiently, and on time
- Authorities knowledge preferred
Experience
- dealing with the following authorities is an advantage:
- Dubai Municipality
• Dubai Civil Defence
- DEWA
- Trakhees
• Dubai Development Authority
- Tecom
Qualifications
- Bachelor’s degree or Diploma in Project Management, Civil Engineering, Architecture, Interior Design, Business Administration, or a related field
- Minimum 2–5 years of experience in the interior design, fit-out, or construction industry
- Experience handling authority approvals and permit processes in the UAE
- Strong organizational, coordination, and multitasking skills
- Knowledge of project documentation and document control procedures
- Ability to manage multiple tasks and meet project deadlines
- Good communication and client coordination skills
- Proficiency in Microsoft Office, Excel, AutoCAD, and project management tools
- Fluent in English; Arabic is an added advantage
- Knowledge of UAE authority regulations, submission procedures, and online authority portals
- Strong problem-solving skills with attention to detail and accuracy
- Ability to work independently as well as within a team environment
