Role overview

Key responsibilities

• Run Oracle OTL reports, prepare weekly and monthly timesheets, and facilitate approvals; coordinate overtime and absence pre-approvals.
• Issue weekly man-hour booking details; maintain the purchase order register and document issued purchase orders.
• Create projects and booking codes in Oracle International, OTL, and Covero.
• Prepare PAAFs, route them for approval, archive approved forms, and maintain the register; assist with organization chart updates.
• Review expense claims and coordinate approvals; induct new joiners on time writing and I-expense procedures.
• Support planners and the cost controller; track resource status, headcounts, and distribution lists.
• Raise material requisition forms and route them for approval.
• Maintain effective working relationships across project and contract interfaces, engage with the inter-discipline community, and share knowledge.
• Maintain awareness of relevant external stakeholders, vendors, industry bodies, academia, and client interfaces as appropriate and requested.

Qualifications and experience

• A graduate degree is expected.
• Minimum 1–5 years of relevant oil and gas industry experience; previous oil and gas experience is also specified.
• Experience with detailed engineering and consultancies; multinational and multicultural project team experience is strongly preferred.
• Proficiency in Microsoft Excel and timekeeping experience.
• Fluent spoken and written English; clear communication, interpersonal skills, active listening, and problem-solving ability.
