Product Project Management Specialist

Role overview

Project coordination and execution

• Track launch timelines and deliverables; maintain tasks, milestones, and dependencies in Asana.
• Follow up with internal teams and external suppliers to secure updates and timely completion of actions.
• Support feasibility assessments and project planning by gathering information and timelines.
• Coordinate meetings, agendas, minutes, and action-item follow-up.
• Monitor progress and flag delays, risks, missing information, and potential solutions to the Line Manager.

Cross-functional and supplier coordination

• Coordinate with Product Development, Packaging, Quality, Purchasing, Regulatory, Finance, Design, Marketing, S&OP, Master Data, Logistics, and Regional Markets.
• Support communication with suppliers and contract manufacturers on timelines and deliverables.
• Gather and organize BOMs, specifications, forecasts, production timelines, and shipping updates.
• Support Demand Planning and S&OP forecast tracking and purchase order coordination; maintain accurate project documentation.

Reporting and process support

• Prepare project updates, reports, presentations, status summaries, launch reviews, and leadership updates.
• Document risks, changes, and action items, respond to stakeholder queries, and prepare clear communication materials.
• Standardize processes, templates, trackers, and SOPs; contribute to automation and process improvement.
• Participate in postmortem launch reviews and capture learnings; provide operational and administrative support to the PPM team.

Requirements

• 3–5 years in project coordination, operations, supply chain, product development, or a related field; beauty, FMCG, or fast-paced experience preferred.
• Bachelor’s degree in Project Management, Operations Management, Business Administration, Industrial, Manufacturing, or Chemical Engineering, or a related field.
• Strong organization, time management, attention to detail, communication, collaboration, and ability to manage priorities in a fast-paced environment.
• Comfort coordinating multiple stakeholders and functions; proactive, solutions-oriented, and willing to learn.
• Working knowledge of Microsoft Office, particularly Excel and PowerPoint.
• Comfort using project management systems; experience with systems similar to Asana is preferred.
• Fluent in English.
