Job Description

The Payroll Specialist is responsible for planning, managing, and executing payroll operations to ensure accurate, timely, and compliant salary processing across the organization.

The role involves handling end-to-end payroll activities, maintaining payroll records, conducting payroll analysis and reconciliations, and ensuring adherence to internal policies, labor regulations, and statutory compliance requirements.

The incumbent will process employee payroll transactions, including salaries, allowances, overtime, deductions, benefits, reimbursements, and end-of-service settlements, while ensuring data accuracy and confidentiality.

The role also includes reviewing payroll inputs, validating payment records, reconciling payroll reports, and conducting audits to identify discrepancies and implement corrective actions where necessary.

Responsibilities

  • Perform daily payroll operations taking charge of payroll processes, wage computation, and timely & accurate disbursement of compensation across the organization.
  • Review, analyze and check payroll reports for accuracy, eliminating inefficiencies and errors, and making corrections through journal entries & other established procedures.
  • Provide information and answer employee queries about payroll related matters.
  • Manage electronic timekeeping systems, collating and reviewing timesheets.
  • Calculate payable hours, commissions, bonuses, tax withholdings, and deductions. Track and monitor disbursements, deductions & reimbursements.
  • Prepare and issue earnings statements, issue paychecks, manage direct deposits and maintain employee records.
  • Execute time and attendance processing, and interface with payroll. Review, endorse and post overtime and other data.
  • Coordinate with HC to ensure accurate and updated employee data.
  • Comply with and manage audit requests as and when required.
  • Ensure accurate and timely year-end reporting as needed. Prepare and present reports for senior management and the finance team.
  • Play the role of resident payroll tax expert to all internal and external stakeholders.
  • Provide administrative assistance to the accounting department and assist with payroll expenditure projections and their analysis.
  • Compile reports and perform financial analyses for audits and other compliance requirements.
  • Identify, develop and implement new payroll procedures & improvements.
  • Maintain records of hourly rates, wages & compensation, benefits & perks, new hire information, etc.

Qualifications

  • Bachelor’s degree in Accounting, Finance, Business Administration, Human Resources, or a related field.
  • Minimum 4–7 years of experience in payroll processing, payroll administration, or compensation and benefits functions.
  • Strong knowledge of payroll processes, labor laws, taxation, statutory deductions, and payroll compliance requirements.
  • Experience in end-to-end payroll processing, reconciliations, auditing, and payroll reporting.
  • Proficiency in payroll systems, HRMS/ERP applications, and Microsoft Office tools, especially Excel.
  • Experience working with Oracle HCM Payroll, ERP systems, or similar payroll platforms is preferred.
  • Strong analytical, numerical, and problem-solving skills with high attention to detail and accuracy.
  • Ability to handle confidential employee and payroll information with integrity and professionalism.
  • Good understanding of financial controls, payroll accounting, and reporting procedures.
  • Excellent communication and stakeholder management skills.
  • Ability to manage multiple priorities and meet strict payroll deadlines in a fast-paced environment.
  • Professional certifications related to payroll, finance, or HR are an advantage.
  • Experience in multinational or large-scale corporate environments is preferred.
