Order Management Specialist – MEA Region
Our client is a global Manufacturer operating within the industrial equipment and B2B capital goods sector, providing large-scale machinery and engineered systems used across manufacturing, processing, and production industries.
The organization focuses on the supply, installation, and lifecycle support of large scale machinery and engineered systems used in manufacturing, processing, and production environments.
Salary- 15,000- 20,000 AED
A key part of this role is managing quotation-to-order workflows, where customer inquiries are converted into formal quotations and subsequently into confirmed purchase orders.
This requires close coordination between commercial, technical, finance, and logistics teams, supported by ERP systems to ensure accuracy, traceability, and efficiency.
The MEA region presents a diverse operating environment with customers across multiple countries, requiring strong coordination skills to manage varying commercial practices, regulatory requirements, and time-sensitive project demands
Role Summary
The Order Management Specialist is responsible for managing end-to-end quotation lifecycle activities, ensuring timely processing of customer RFQs, maintaining accurate system records, and driving conversion of quotations into confirmed orders.
The role focuses on improving operational efficiency, supporting commercial execution, and ensuring smooth coordination between internal teams and external customers.
Key Responsibilities
- Monitor and manage daily Requests for Quotation (RFQs), ensuring timely follow-up and processing.
- Track and update quotation status in ERP systems, including customer interactions, follow-up actions, expected closure timelines, and delay reasons.
- Ensure timely conversion of quotations into confirmed orders and update system records accordingly.
- Maintain accurate and up-to date documentation of all quotation activities in relevant business systems.
- Coordinate with customers and internal stakeholders to ensure smooth progression of quotations through the sales cycle.
- ***Generate regular reports on:***
- Open quotations
- Quote aging
- Conversion rates
- Lost opportunities
- Pending follow-ups
- Provide weekly and monthly performance reports to management.
- Escalate commercial or operational issues such as pricing concerns, approval delays, or payment-related blocks.
- Facilitate communication between departments to ensure efficient order conversion and resolution of bottlenecks.
Qualifications & Skills
- Bachelor’s degree in Engineering, Business Administration, or equivalent.
- Minimum 5-10 years of experience in service operations, sales support, or commercial operations within Large Manufacturing/Engineering industry is a must.
- Strong proficiency in Microsoft Office, particularly Excel for reporting and analysis.
- Working knowledge of ERP systems (e.g., SAP or similar platforms).
- Strong analytical, organizational, and reporting skills.
- Excellent communication skills in English; Arabic is an advantage.
- Ability to manage multiple priorities in a fast-paced, deadline-driven environment.
