Key Responsibilities

  • Coordinate daily operations between the sales, creative, digital marketing, and client servicing teams.
  • Monitor project timelines and ensure all client deliverables are completed on schedule.
  • Prepare quotations, proposals, contracts, invoices, and other business documents.
  • Maintain client records, project documentation, and operational reports.
  • Coordinate with clients regarding project updates, approvals, and follow-ups.
  • Schedule meetings, prepare meeting agendas, and record meeting minutes.
  • Support the sales team with documentation, CRM updates, and client onboarding.
  • Liaise with the finance team for invoices, payment follow-ups, and purchase requests.
  • Coordinate with influencers, vendors, production partners, and suppliers for campaign execution.
  • Assist in organizing events, photoshoots, video productions, and marketing activations.
  • Manage office administration, inventory, and procurement of office supplies.
  • Handle correspondence, emails, and day-to-day administrative tasks.
  • Track team productivity and prepare weekly and monthly operational reports.
  • Ensure compliance with company processes and maintain organized documentation.
  • Support the CEO and management team with operational and administrative tasks as required.

Requirements

  • Bachelor's degree in Business Administration, Marketing, Management, or a related field.
  • Minimum 2 years of experience in operations, administration, or project coordination.
  • Previous experience in an advertising, digital marketing, media, or creative agency is preferred.
  • Excellent communication skills in English (Arabic is an advantage).
  • Strong proficiency in Microsoft Office (Excel, Word, PowerPoint) and Google Workspace.
  • Experience with CRM and project management tools such as ClickUp, Asana, Monday.com, Trello, or similar platforms.
  • Strong organizational, multitasking, and time management skills.
  • Ability to work in a fast-paced environment and manage multiple priorities.
  • Valid UAE residency (Husband/Family Visa preferred) is an advantage.
