We are seeking a highly organized and proactive Operations & Coordination Lead to support the day-to-day operations of the business by coordinating with internal and external stakeholders, managing administrative and financial processes, and assisting with marketing initiatives.
The ideal candidate will be able to manage multiple priorities, maintain accurate records, and contribute to the smooth execution of projects in a fast-paced startup environment.
This Operations & Coordination Lead Job in Dubai is ideal for professionals with strong project coordination, administrative, financial, and stakeholder management experience who enjoy working in dynamic and growing businesses.
Job Responsibilities
- Coordinate communication and follow-ups with partners, suppliers, agencies, and other external stakeholders.
- Manage project timelines, track action items, and ensure tasks are completed within agreed deadlines.
- Support the planning and execution of marketing activities, including content coordination and social media initiatives.
- Liaise with external marketing agencies and creative partners to coordinate campaigns and promotional activities.
- Assist in the preparation of marketing materials, presentations, and campaign logistics.
- Track company expenses and maintain organized financial records.
- Prepare and organize invoices, payment documentation, and expense reports.
- Support the preparation of financial summaries and reports for management and board meetings.
- Develop professional presentations, proposals, reports, briefing notes, and other business documents.
- Coordinate calendars, meetings, travel arrangements, and other administrative requirements.
- Maintain accurate documentation and filing systems for operational and financial records.
- Identify process improvements to enhance operational efficiency and organizational effectiveness.
- Provide general administrative and operational support to the leadership team as required.
Job Requirements
- Bachelor's degree in Business Administration, Marketing, Operations Management, or a related field is preferred.
- **2–5 years of experience in an Operations, Coordination, Executive Assistant, Project Coordination, or Marketing Support role.**
- Proven ability to manage multiple projects and priorities in a fast-paced environment.
- Exceptional organizational and time management skills with strong attention to detail.
- Strong written and verbal communication skills in English; Arabic is an advantage.
- Proficiency in Microsoft Office Suite (Excel, PowerPoint, Word) and Google Workspace.
- Experience coordinating with external vendors, suppliers, agencies, and business partners.
- **Basic financial administration experience**
- , including expense tracking, invoice management, and payment coordination.
- Ability to prepare professional presentations, reports, and business documentation.
- Highly proactive, resourceful, discreet, and professional in handling confidential information.
- **Strong interpersonal skills**
- with the ability to build effective working relationships.
- **Valid driving licence with access to a personal vehicle.**
